EFFECTIVE DATE: Immediately
END DATE: December 31, 2026 (Anticipated)
SCHEDULE: 35 hours/week (Non-Union position)
ANNUALIZED SALARY: $85,468 – $96,140
Reporting to the Manager of Information Technology, the Student Information Administrator performs specialized administrative and technical work in the design, operation, and support of the HSCDSB’s student information systems (SIS). The incumbent interacts and collaborates with end-users to provide guidance, training, and monitoring of needs or inquiries. The Student Information Administrator assists various end-users in areas such as attendance, grade reporting, registration, scheduling, elementary and secondary achievement, transcripts, OEN validation, OnSIS reporting, and discipline reports.
RESPONSIBILITIES & DUTIES:
- Provide Level 1 and Level 2 support, troubleshooting, and user administration for the Student Information System (SIS).
- Manage SIS security, user access, staff setup, and annual system readiness processes.
- Maintain data integrity by monitoring enrolment records, validating reports, and ensuring accurate student information.
- Prepare, analyze, and distribute SIS reports, queries, and data submissions for schools, Board staff, and external stakeholders.
- Coordinate Ministry reporting requirements, including OnSIS, OEN, SODT, EFIS funding data, audits, and compliance reporting.
- Liaise with schools, Board departments, vendors, and the Ministry of Education to resolve data and system issues.
- Support and test SIS integrations with third-party applications and participate in software updates and user group initiatives.
- Develop and deliver training, documentation, and ongoing support for clerical and administrative staff on SIS processes and Ministry requirements.
- Manage enrolment-related processes, including registration support, enrolment registers, and student data submissions to external agencies.
- Communicate system updates, process changes, and best practices to end users while ensuring compliance with Ministry guidelines and confidentiality standards.
QUALIFICATIONS & SKILLS:
- Post-secondary education in Administration or a related field.
- Minimum of Three (3) years of previous experience and capability of providing level II system support.
- Experience with a wide range of student information and business applications, including OnSiS and Aspen.
- Knowledge of a broad range of information technologies including, but not limited to software applications, computer networks, operating systems, database systems, and the configuration/maintenance of computer systems.
- Ability to adapt to new technologies and use them to improve current infrastructure.
- Excellent organizational, analytical, and problem-solving skills.
- Ability to work in a dynamic self-empowered environment and participate concurrently on multiple projects.
- Skilled at developing accurate time estimates, project budgets, and documentation.
- Exceptional interpersonal skills with a proven ability to build and maintain positive relationships.
- Excellent communication skills, particularly the ability to make formal presentations, read and interpret specialized technical documentation, and compose business proposals related to systems analysis and project management.
